Clipboard Callouts

·      Clipboard is the temporarily storage of cut or copied content of words processing.

·      It stores maximum 24 cut or copied items at once.

·      The contents of the clipboard are disappearing after the word processing application is closed.

·      It is located in home tab.

·      Ctrl + CC(C Twice) to open clipboard

 

ü  Copy – Ctrl + C

ü  Paste – Ctrl + V

ü  Cut – Ctrl + X

ü  Copy format – Ctrl + Shift + V

ü  Paste format – Ctrl + Shift + V

ü  To open clipboard – Ctrl + C(twice)

o   Paste Special (Ctrl + Alt + V)

⟶ Paste special is use to change the format of copied text. It allows the user to choose how the content will be displayed. Paste special provides formats such as picture, Ms-office word document object, formatted text (RTF), unformatted text, Html format, etc.

o   Paste as hyperlink

⟶ Paste special is used to link text from where text is copied.

o   Format Painter

ü  To copy format – Ctrl + Shift + C

ü  To paste format – Ctrl + Shift + V

Font Callouts

·         Default font & size – Calibri (body), 11 (2007)/ Times new roman, 12 (2003)

·         To change font – Ctrl + Shift + F (open font dialog box >> select font)

·         Font drop down (min & max) – 8 & 72

·         Min & max font size – 1 - 1638

·         Ctrl + Shift + > - Increase font size by 2 pt

·         Ctrl + Shift + < - Decrease font size by 2 pt

·         Ctrl + ] – Increase font size by 1 pt

·         Ctrl +[ - Decrease font size by 1 pt

·         To double underline – Ctrl + Shift + D

·         To underline word only – Ctrl + Shift + W

·         Superscript – Ctrl + Shift + +

·         Subscript – Ctrl + +

·         To draw line between word – Strike through

·         Ctrl + Alt + .(period/full stop) - …(ellipse)

·         Ctrl + Alt + S – split the document

·         Shift + Alt + C – Remove split document

·         Change Case (Shift + F3)

o  Sentence case – Capitalize the initial letter

o  Upper case – Capitalize all (Ctrl + Shift + A)

o  Lower case – Lower all

o  Toggle case – Capital to lower and vice versa

o  Capitalize each word – Capitalize each word initial letter

·         Clear character formatting – Ctrl + space bar

·         Clear paragraph formatting – Ctrl + Q

Paragraph Callouts

Bullet and Numbering

·         To insert Bullet – Ctrl + Shift + L

·         To insert Numbering – Ctrl + Alt + L

·         To make sub bullet – Tab

·         To make main bullet – Shift + Tab

·         To remove bullet or numbering – Backspace or Press Enter key Twice

Indentation

   Space between left margin and text or right margin and text

    i.      Left indent – Moves the entire paragraph to the right from left margin

To increase left indent – Ctrl + M

To decrease left indent – Ctrl + Shift + M

   ii.      Right indent – Moves the entire paragraph to the left from right margin

  iii.      Special indent

a.    First line indent – Indent only the first line of a paragraph and used to mark the start if a new paragraph

§  To increase the first line indent – Tab

§  To decrease the first line indent – Shift + Tab

b.   Hanging indent – Indents all line of a paragraph except the first line and used in bibliographic and reference lists

§  To increase the hanging indent – Ctrl + T

§  To decrease the hanging indent – Ctrl + Shift + T

   iv.      Mirror indent

b.   Outside

Alignment

·         To align left – Ctrl + L, CTRL + Q

·         To align right – Ctrl + R

·         To align center – Ctrl + E

·         To justify center – Ctrl + J

Line spacing

     Space between lines

·         Default line spacing – 1.15(2007) & 1.0(2003)

·         Ctrl + 1 – 1.0 line spacing

·         Ctrl + 2 – 2.0 line spacing

·         Ctrl + 5 – 1.5 line spacing

Border

·         Default border – Bottom border

·         To remove border – No outline

Non-printing character – also known as special character, paragraph mark(¶)

·         To show paragraph mark – Ctrl + * (Ctrl + Shift + 8)

·         To insert non-breaking space – Ctrl + Shift + Space

 

Sort – Arrange in ascending order to descending order or vice versa as number, character.

Tabs

Ø  A paragraph formatting features that refers to pressing “Tab” key to create and control tab stops in documents.

Ø  Tab stops are used to align and position texts and numbers, indents paragraphs, create single and multi-column lists, adjust bullets and may more.

Ø  Default value of tab stop is 0.5”.

Ø  Types of tab stops

Editing

Ø  Find (Ctrl + F)

ü  Used to find specific word, phrase or string of character in our document.

ü  We can decide whether to find whole words, match case, match prefix or suffix, use wildcards, etc

ü  We can find formatted content or special characters as well.

ü  To display Find & Replace dialog box with activating Find tab

Ø  Replace(Ctrl + H)

ü  To find specific word, phrase or string of characters and replace it/them with another word or phrase.

ü  To display Find & Replace dialog box with activating Replace tab.

ü  We can find formatted content or special characters and replace them with either normal or formatted content.

Ø  Search option in both find and replace

ü  Match case            Ã¼  Find whole words only

ü  Use wildcards          Ã¼  Sounds like(English)

ü  Find all word forms(English)

ü  Match prefix           Ã¼  Match suffix

ü  Ignore punctuation characters
